The San Mateo Union High School District provides Technology Support to Teachers, Staff and Students in many ways. Teachers and staff can use this site as a forum for many of the technology support questions they have and direct them to the appropriate staff for the support they need.

Edtech Resources The resources we have access to grow daily and it is difficult to keep track of all of it. This section of the site will provide you with links and professional development opportunities that will allow you to keep your own Information Literacy skills up to date and show you some implementation strategies to use with your classes.

Google For Educators Google, the search engine, has acquired many online software applications and is providing them free of charge to anyone. See the free tools you and your students have at their disposal.
Learning with Web 2.0 is a site that provides some background to the world of Web 2.O and highlights some of its free tools. These applications allow teachers and students to make the Internet a two-way communications medium. Web 2.0 is often described as the 'Read/Write Web.'
Information Literacy- refers to the ability a person must have in order to recognize when information is needed and have the skills to locate, evaluate, and use effectively the needed information.
Digital Citizenship refers to the appropriate use of technology in terms of 9 themes: Etiquette, communication, literacy, access, commerce, law, rights & responsibilities, health & wellness, and security.
Web 2.0 Resouces is a group of links to resources used for a variety of educational applications for management, student planning, searching, project tools, etc.

Site Level Support: Each of the schools has a Technology Coordinator and a Technology Support Specialist. All requests for on site support need to be forwarded to the Technology Coordinator at your school. Onsite support is limited to workstation, software and phone issues.

District Level Support: All issues dealing with Novell or e-mail accounts are handled at a district level by the Technology Liasion. If a teacher is experiencing difficulty logging in to the District network or you cannot access your district e-mail account contact the Technology Liasion.

Let's Take A Tour of Google Calendar 1. Setting Up a Google Account and Calendar- http://www.google.com/intl/en/googlecalendar/about.html 2. Creating a New Calendar http://www.google.com/support/calendar/bin/answer.py?hl=en&answer=37095 1. At the bottom of the ‘My calendars’ section on the left, click the Create link. 2. Enter the required information. 3. Click Create Calendar. 4. All of the calendars you create will be listed under ‘My Calendars’ on the left side of your page. For each of the calendars, you can add, delete, and edit events any time you like. 5. Please note that there’s a limit to the number of calendars you can create at one time. If you’re receiving an error message when creating additional calendars, please wait 24 hours before trying again. 3. Sharing Calendars- Public or Specific Users http://www.google.com/support/calendar/bin/answer.py?hl=en&answer=36598 Public: http://www.youtube.com/watch?v=G7kniMsskDg&feature=player_embedded To share your calendar with everybody, just follow these steps: 1. If you'd like to share your calendars with more users, please wait 24 hours before trying again. 5. If you're having trouble sharing your calendar, remove the shared person from your calendar settings and share your calendar again to resolve the problem. 4. Creating an Event or Task- http://www.google.com/support/calendar/bin/answer.py?hl=en&answer=72143 You can create an event in a number of ways: 1. Click and type to create an event Click on the day where you’d like to create a new event. If the event spans over an hour, click and drag. Type the title and event time for your new event in the box. Sending Invitations and Managing Confirmations- http://www.google.com/support/calendar/bin/answer.py?hl=en&answer=37161 Invite guests to your event Google Calendar lets you create invitations for special events, send those invitations to friends, and keep track of responses and comments all in one place. To invite someone to your event, just follow these steps: 1. Click on the event (or create a new event) and select "edit event details." 2. In the "Guests" section, click on "Add Guests." 3. Enter the email addresses of the guests, separated by commas. 4. Select the appropriate level of control for your guests. 5. Click "Save." 6. If you'd like to notify your guests of the event, click "Send"; if not, click "Don't Send." 7. Please note that guests who use Google Calendar will receive an invitation based on their own notification settings. Allow guests to modify the event 1. It's simply easier to negotiate a meeting time or collaborate on the event description when your guests also have access to edit your event's details. While this is possible by sharing your entire calendar, some situations call for granting access to specific events. For this purpose, Google Calendar provides the option to allow guests to modify events to which they're invited. 2. To enable this feature, simply select the modify event option in the Guests can section of the event details and click Save. Invite guests who don't use Google Calendar 1. Anyone with an email address can receive invitations from Google Calendar, regardless of whether they use Google Calendar themselves. 2. When guests receive a Google Calendar invitation, they can select their attendance status or click "More event details" to be taken to an event page and check other guests' attendance status and leave comments for the event. 3. If your guest uses a calendar application that supports the iCalendar format, they can use the iCalendar file attached to the invitation to display your event on their own calendar. Check out the "Guest" information on the right side of the event page. RSVP to an event 1. When people invite you to events using Google Calendar, these events will automatically appear on your calendar with a question mark. To RSVP directly on your calendar, follow these steps: 2. Click on the event. 3. Select the appropriate link in the "Going?" section. Alternatively, click on "edit event details," select the appropriate response in the "Are you coming?" section, add a note if you'd like, and then click "Submit response." 4. Note: If you'd like to change your attendance status, revisit the event's page and click on "Change your response." You'll also get an email with the text of the invitation. If you're a Gmail user, you can RSVP to the event directly through the email invitation. You can also go to the event's page and leave a comment in the "Discuss this event" section. 6. Posting and Embedding Public Calendars- http://www.google.com/support/calendar/bin/answer.py?hl=en&answer=41207 Here's how to embed your calendar on your website: 1. In the calendar list on the left, click the down-arrow next to the calendar you want to embed, and select Calendar settings. (Alternatively, click the Settings link at the bottom of the calendar list, then click the name of the calendar.) 2. Copy the iframe code displayed in the 'Embed This Calendar' section. 3. Paste this code into your website to embed your calendar. 4. If you'd like to customize your embedded calendar, click the Customize the color, size, and other options link above the iframe field to access the Google Embeddable Calendar Helper. Carefully select your options in the Calendar Helper and paste the customized iframe code in your website. 5. To display events from multiple calendars in the same embedded calendar, simply follow the instructions above to access the Google Embeddable Calendar Helper. Then, select the checkbox next to each calendar you wish to display, in the section 'Calendars to Display.' 6. Please note that you can change the amount of information available on your calendar's address by clicking the Change sharing settings link in the 'Calendar Address' section. Google For Educators

As part of the process of becoming more involved in schools and businesses, Google, has acquired and provided to users several Web 2.0 -Web based software applications that they host at a site call "Google for Educators." These applications are free for anyone to use, and eliminates the need for students to purchase expensive software applications to allow them to be able to 'interoperate' with the software that is available at school. These applicationsare available anyplace in the world where you, or your students, have an Internet connection. What does this mean? No more floppies or CD's, no more version or application conflicts and better yet, you can collaborate online in real time.

This is a web based tutorial designed to teach teachers and students on how to use the Google tools in an educational setting. This site is also a wiki, which will allow users to post new uses of these applications in class and create a library of resources that all teachers and students can benefit from.

Docs and Spreadsheets

What are Google Docs and Spreadsheets? This is a free easy to use online word processor, spreadsheet and presentation application that enables students to create, store, share and collaborate on documents. This allows students to access their projects at any time and at any place where they have access to a computer connected to the Internet. There are no more application compatiblilty issues between home and school or worrying about students being able to collaborate on wiring assignments. Docs and Spreadsheets allows multiple authors to work simultaneously and tracks the contributions of each author during each login. Students can also share their work online with teachers, where editing notes can be placed directly within the text and teachers can quickly see differences between first and second drafts. This allows students to take full advantage of the writing process in a visible way, enabling them to quickly analyze and organize data.

DIRECTIONS FOR USING DATA DIRECTOR

For first-time users:

Sign in to DataDirector by going to www.achievedata.com/smuhsd. Your user name is first initial+last name. Use lower case characters and no spaces. The initial password is “welcome”.
Change your password to your district e-mail password or your AERIES password. It must be at least 6 characters long.

For those who have signed in previously but forgotten their password.

Try your district email or Aeries password.
If that doesn’t work, email Cheryl Meagher at cmeagher@smuhsd.org. It will take 24 hours to re-set your password.

CST CLUSTER SCORES REPORT BY CLASS PERIOD

1. Select “reports” and scroll down.
2. Select “CST Cluster Scores”.
3. Select “manually”.
4. Select “subject”.
5. Select “Student population roster year”. (2009-2010 for current students)
6. Select “Add courses”. (the period for which you want scores)
7. Select “test year” – (2008-09 for most recent results).
8. Select “test type”.
9. Select “percent correct”.
10. Show number possible – Select “yes”.
11. Select “submit”.

COMMON ASSESSMENT RESULTS BY CLASS PERIOD

Go to the tab, EXAMS.
Select the subject area of the test.
Select the 2008-09 academic year (there are no results yet for 2009-10 except for the Gates-MacGinitie reading test).
Select “District Benchmark”. Submit.
Select the test.
Select the class period.
Under REPORTS – click on “classroom performance summary report”.

INDIVIDUAL STUDENT INFORMATION

1. Go to STUDENTS.
2. Select the academic year (2009-10 for current students).
3. Enter the student’s First and Last name OR the student’s ID#.
4. Click “Go”.

Helping Students Login to Netware

Over the past few years, the number of users on the District network has increased. Because of this a unique user login and password has been created for each student.

If you are having difficulty logging in, please be sure you have the correct Tree, Context and Server settings in the Login screen. Refer back to the "How to log into Novell Netware" page for directions.

Student Usernames:

Last name, first initial, and the last two digits of their student identification number are added to their username.

Student Henry Jones with a student ID number of 1054356 would have a username of: JonesH56

Student Passwords:

- All student ID numbers are 7 digits in length and start with the number ‘1’ – This is omitted from the student password.

- The password is a combination of the last 6 digits of the student identification number and the DAY OF THE MONTH in which they were born.

- If a student was born on May 17, 1993 – ’17’ would be added to the end of the 6 digits of the student identification number

- If a student was born on August 8, 1993 – ’8’ would be added to the end of the 6 digits of the student identification number, not ‘08’

John Johnson Student ID Number: 1035678 - Date of Birth: May 17, 1990

- Username: JohnsonJ78 Password: 03567817

Tom Green - Class of 10 - Student Number: 1066789 - Date of Birth: July 9, 1993

District E-mail

The San Mateo Union High School District provides e-mail accounts for all employees. (Classified and Certificated) The Distict allows employees 400 MB of mail storage space. It is up to each user to manage their private space on the web server. Beware of storing large attachments! There have been instances where a single e-mail attachment has used over 20% of a user's mail storage space.

There are presently two separate domains (address suffixes) that are being used for staff e-mail accounts:

New accounts have the @smuhsd.org address.
Old Accounts have the @smuhsd.k12.ca.us address.

Regardless of the domain your e-mail account is on, the way you access your account is basically the same. You can access your account using the 'web interface' from any internet accessible computer and save your e-mail on the mail server. Type in the URL of the server mail.smuhsd.org or mail.smuhsd.k12.ca.us and enter your:

User name: (your first initial & last name)
Password : Ask your tech coordinator (remember to change password once in the system)

School Loop

School Loop is a parent, teacher and student communication and collaboration tool which allows everyone to stay in 'the loop' with all of a student's assignments and grades.

Students and Parents receive a daily e-mail with their assignments.
Teachers receive a daily e-mail reminding them to post assignments to the School Loop system.
Parents and Students can access their grades in real-time, allowing everyone to be up to date on a student's progress and avoid the 'last second crunch' before the end of the semester or grading period.
Teachers and counselors can communicate and collaborate regarding students or special projects.

All of the SMUHSD schools have School Loop access. Accounts are created by each site's Technology Coordinator. All teachers automatically have an account and will receive daily e-mails. Parents and students need to sign up for School Loop access. Signing up for School Loop is easy, if you have parents that would like to sign up, you can refer them to the main page for their school site. They can also download the .pdf here to help them in the sign up process.

School Loop - Resetting Student Passwords

As with almost any password protected account, there will be a time when one of the users has forgotten their password an it needs to be reset. School Loop is no different in this respect. While teachers cannot view student passwords, they can change them to assist students in accessing the School Loop system.

Quick Path to the Task:

Click on CourseCenter >
Click on Roster link next to the Section the student is enrolled in>
Click on Student Name or Reset Password>
Click on “Help Student Login” to reset their password.

1) Log on to the School Loop system and access the 'Course Center' for the class the student is enrolled in. The 'Course Centers' link is located on the tool bar near the top of the teacher home page.

2) Once in the 'Course Tools' for the course, locate the 'Roster Manager' section on the page. Click on 'Roster" link next to the section number that has the student.

3) You will then be presented with the rosters of all of the sections you teach of the course you selected. All of the student names will be blue hyperlinks. Select the name of the student, by clicking on the student name.

4) The student home page will show up and on the right hand side a box titled, 'Login Rights.' (See graphic to the right!) In this box, it will show the student's login name and will have a blue hyperlink titled, 'Help Student Login.' By clicking on the link, you will be take to another page where you will enter the new student password twice to confirm it. The student should now be able to login using the 'Login Name' listed in the 'Login Rights' box and the password you just created.

School Loop - Verify Parents

The School Loop system provides parents, students and teachers with a wealth of information about the academic life of a student. Most of the data that School Loop provides, is general to the school or to a particular class. The only true piece of 'personal data' that School Loop collects and provides back to parents and students are student grades. Since student grades are individualized and are held privately by the schools, School Loop requires an additional step in the process for parents to view student grades. Students can view grades, regardless of their parent's approval status. Parents cannot receive Loop Mail from teachers if they have not been approved.

Once a teacher is logged into School Loop, along the right hand side of the teacher home page there is a graphic called, "Teacher Tools." There are many different things teachers can do with the links here, but to approve parents you need to select, "Parent Directory."

The next screen that opens, will have all of the parents of your students, who are registered School Loop members listed. There are several columns of information listed here, but you need to concentrate on the far left and right hand columns. The far right column shows the parent's approval status. If they are not approved, it will show 'Not Approved' in red in that column. If you look along the same line, the far left hand column will have a check box in red, corresponding to this parent's approval status. To approve the parent, click inside of the red check box on the left and click on the blue 'Submit' button on the right.

School Loop - Signup

As a teacher, you can facilitate the use of the School Loop system by your students and their parents. Signing up is easy and all students and their parents need to know is their student's initials and their student identification number.

Go to the School Loop Page for your School Site:

The Login and Registration part of the page will look like the graphic to the right. As you can see there is a button in the top right that allows parents to completely change the user interface from English to Spanish.

If parents want to register, they simply click on the button that says, 'Register Now.'

The next screen will load and look like the graphic on the Right. Parents will need to complete the following information to create their account.

First and last name
Selecting a 'login' name
A valid e-mail address
A phone numbner
Their student's ID number
The first and last initial of their student's name.
Selecting a password and confirming it. (School Loop passwords must be at least 6 characters in length and must have at least one letter and one number.

This will give parents access to the basic features of School Loop: schedules, assignments, Loop Mail to teachers, etc. but if parents want access to student grades, they need to be 'verified' by one of their student's teachers. School Loop requires this extra step to protect the privacy of the student and/or their parents. If you want to learn more about how to verify parents, click here.

List Serves
Another part of the SMUHSD e-mail system is the use of List Serves. List Serves allow you to send e-mail to a group of people by sending an e-mail to a single address. All of the SMUHSD schools have List Serves created to send mail to all academic departments and other groups of people on each campus. List servs are maintained by your site technology coordinator. See the list below.

If you are not receiving list serve emails please contact the Technology Coordinator at yoru site. See below for examples of the types of list serves you will used in the district.

Enter your User ID (Typically your first initial and last name.) and Password in the fields below to log into your account. If you do not have a password or have lost your password, please contact your School Technology Coordinator.

After you have logged into the system, click on the Preferences link in the left column to reset your password.

Internet Access & the AUP

Each of the schools in the SMUHSD has access to the Internet through the District Local Area Network (LAN). This access is provided through direct connections from each site to the District office and from the District Office to the County Office of Education. With this access, all students, teachers and staff bear the responsibility to use this access appropriately. All students, teachers and staff must sign an Acceptable Use Policy Agreement prior to using any of the technology assets of the SMUHSD. The Acceptable Use Policy agreement includes, but is not limited to:

Using abusive or threatening language

Viewing inappropriate graphic images.

Attempting to or obtaining access another's files

Attempting to or damaging computer systems or networks.

Disclosure of personal information while using electronic communication equipment.

Using the network for other than educational purposes.

3. Technology Coordinators

Each school in the San Mateo Union High School District has a Technology Coordinator. These are teachers at the school that work to develop the technology integration goals of the school, assist teachers in implementing technology into their curriculum and manage the technology assets of the school. As a teacher in the SMUHSD, the Technology Coordinator is your primary resource to assist you in using technology in your classroom.

Each school in the SMUHSD has different technology assets that can be used to achieve your technology integration goals. These assets include, but are not limited to: computers, specialized software titles, digital cameras, scanners, digital video cameras, LCD projectors, etc. Your Technology Coordinator is the best resource to find out what is available at your school, if you have a project or a new lesson that uses technology, please make sure you share it with the Technology Coordinator. By keeping a list of all of the educational activities that use technology, we can develop a library of assets for all district teachers to share in.

Novell Netware

Novell NetWare is a network operating system that allows faculty and staff in the San Mateo Union High School District to share software,save files, and access network printers.

Novell NetWare extends the abilities of a desktop computer by providing powerful network services including:

• Personal folders for private file storage.
• Shared directories for groups of people that share files or programs.
• Networked printing services so people may share printers.
• Shared software capabilities (e.g. Geometer’s Sketchpad, Phathom, Green Globs, CCC).
• Security to prevent unauthorized access of information.

Aeries is the new district SIS or Student Information System that will be used to manage all student data including attendance, grades, and personal records. As a teacher you are required to use the Aeries Browser Interface (ABI) on a daily basis in the management of your student's records.
